Happy Brain Science Recording and Sharing Policy

Ownership

Happy Brain Science retains all rights to the content of its presentations, including the ideas, materials, and presentation itself. This policy describes the license Happy Brain Science grants to clients for recording and using that content.

Internal Use

We’re happy for clients to record Happy Brain Science presentations for internal use at no additional charge. Internal recordings may be shared with the client’s employees, members, or other people within the organization through internal learning, communication, or collaboration platforms. Internal-use rights do not expire.

In exchange for this no-fee internal-use license, we ask that the client provide Happy Brain Science with a copy of the complete, unedited recording within 14 days of the event. This allows us to use appropriate portions of the recording for our own speaker reel, website, social media, and other promotional purposes. Providing the recording is a condition of the no-fee internal-use license.

Please deliver raw, uncompressed video and audio files (e.g., MP4/MOV) via Dropbox, Google Drive, or WeTransfer. If a professional AV team is recording the session, please include the raw audio feed from the presenter’s lapel/lavalier microphone rather than only room or ambient audio.

The client is responsible for obtaining any necessary consent from attendees or participants for the recording and internal distribution of the event. If Happy Brain Science uses a clip in which other people appear in an identifiable way for its own promotional purposes, the client’s consent process must also cover that use.

Public Excerpts

We’re happy to support public sharing of short excerpts from a presentation. Publicly shared clips require prior approval from Happy Brain Science, primarily so we can ensure that the excerpt represents the presentation well and that any audience members appearing in the recording have appropriate permission.

We encourage clients to share especially strong moments from the presentation and to identify or tag Happy Brain Science when doing so. Any permission granted for public excerpts is valid for two years from the date of the presentation, unless otherwise agreed in writing.

Full Public Distribution & Commercial Use

Public distribution of the complete presentation—or use of the recording as an on-demand training product, commercial content, or content distributed beyond the client’s own organization—requires prior written permission from Happy Brain Science and may be subject to an additional licensing fee.

Before a client publicly distributes a complete presentation, Happy Brain Science must have a reasonable opportunity to receive and review the recording. Recordings should not be edited in a way that materially changes the meaning or context of the presentation.

Any permission granted for full public distribution is valid for two years from the date of the presentation, unless otherwise agreed in writing. Continued public use after that period requires renewed permission from Happy Brain Science.

AI & Machine Learning Uses

Presentation audio, video, and transcripts may not be fed into generative AI tools, custom LLMs, internal AI knowledge bases, or voice-cloning software, and may not be used to train or fine-tune any AI model, without Happy Brain Science’s separate prior written permission. This applies whether the content is used in its original form or as an automatically generated transcript or summary.

Our goal is to make recording easy for clients while also making the resulting footage useful to everyone. We believe that great presentations should continue creating value after the event — and we’re delighted when clients help us share the best moments with a wider audience.
